The model
Different records can have different visibility.
DwellCapsule supports both shared property-management workflows and separate renter-controlled records. What another party can see depends on the workflow the information belongs to and whether the renter has chosen to share it.
Shared workflow
Information submitted inside a property-manager workflow is available to the parties participating in that workflow.
Private renter record
A renter's separate private record is not automatically exposed outside that record.
Explicit sharing
A renter can choose to share a separate private record when they want another party to receive it.
Who can see what
Participation in a workflow is different from access to a private record.
Property-manager workflow
When a renter responds to a property-manager move-in workflow, the acknowledgment, exception, photo, or comment they submit is part of that shared rental process and is available to the property team.
Separate renter record
A separate private record maintained by the renter is not automatically exposed to the property manager.
The visibility follows the record and the workflow — not a blanket rule that everything is shared or everything is private.
Sponsorship & access
Making DwellCapsule available does not mean receiving the renter’s evidence.
A university, public program, nonprofit, employer, housing organization, or other partner may make DwellCapsule available without automatically receiving a renter’s private record.

- Fund access where a commercial arrangement supports it
The organization does not automatically receive
- Renter photos
- Renter notes
- Private condition records
- Move-in or move-out evidence

Outside sharing of a separate private renter record requires an explicit renter action.
Human review
DwellCapsule organizes and surfaces evidence. People make the decision.
DwellCapsule automatically surfaces likely corresponding move-in evidence for review. The property-management team confirms the match, determines the assessment, and makes any charge decision.
No automated liability decision
DwellCapsule does not decide whether a renter is responsible for damage.

DwellCapsule does not determine legal rights, obligations, or outcomes.

Record integrity

DwellCapsule preserves the context that makes rental-condition evidence useful later — including originals, timing context, contributions, corrections, and version history.
Device-reported capture time remains distinct from the time DwellCapsule received the file. DwellCapsule preserves this context but does not independently certify capture time, location, or identity.
