A move-in record may contain sensitive details about a renter's home, tenancy, documents, and observations. It should not automatically become available to a landlord, property manager, sponsor, guarantor, or platform partner. This page is maintained by DwellCapsule and describes how the product is designed today — not an independent certification.

Private by design

DwellCapsule is a personal record — not a landlord platform, not a screening product, not a claims service. Your Capsule sits in your Private Vault and stays there.

  • Every new Capsule starts private by default.
  • Access may occur only through user-directed sharing, limited personnel or service-provider access required to operate and support the product, or legally required disclosure as described in the privacy policy.
  • Organizations cannot query or infer the existence of renter-private records.

No automatic landlord access

Landlords, property managers, and housing partners do not have any automatic view into your Capsule. A Shared Baseline, if you create one, is scoped to exactly what you send — nothing more.

  • No landlord, property manager, or partner sees your Capsule by default.
  • Sharing is a deliberate action. You choose what leaves your Vault and to whom.
  • Sharing a report does not establish that the recipient has accepted, verified, or agreed with it.

No tenant scoring, ever

The Tenant-Screening Boundary is one of the strongest rules in the product. DwellCapsule will never use private renter evidence to produce reputation, risk, or behavior scores.

  • No reputation, risk, property-behavior, or tenant-screening score.
  • No housing-eligibility recommendation derived from your Capsule.
  • Institutional partners cannot suppress or alter tenant evidence, and cannot condition payment or benefits on Capsule access.

Evidence metadata — clearly distinguished

We are transparent about what a timestamp does and does not mean. DwellCapsule does not represent user-supplied or device-reported metadata as independently verified.

  • Device-reported capture date — what the device wrote to the file.
  • Platform upload timestamp — when we received the file.
  • User-entered observation date — what you told us happened.
  • None of these are presented as independently verified unless a separate verification method has been applied.

Original files preserved

Originals are kept unchanged. Thumbnails, optimized derivatives, annotations, AI-assisted text, and report summaries are stored separately so nothing overwrites your source files.

  • Original photos and PDFs are retained separately from derivatives.
  • AI-assisted or system-generated text is never blended into your original notes.
  • Compression happens on derivatives — never on originals.

Reports are versioned, never silently rewritten

Every generated report receives a unique version identifier and generation timestamp. Later edits create a new version rather than modifying an existing one.

  • Each generated report has a unique version ID and timestamp.
  • Edits create a new version. Earlier versions remain intact.
  • Private notes are preserved verbatim. Neutral report-ready wording is a separate, approved suggestion.

User-controlled export and sharing

You can export your reports and eligible original evidence in a reasonably usable format. Sharing is opt-in on every action, and deletion removes evidence from your reports and account views.

  • Export reports and eligible originals in a reasonably usable format, subject to disclosed technical and security limitations.
  • Deleted evidence does not continue to appear in your reports or ordinary account views.
  • Limited deletion, security, billing, or audit records may be retained as disclosed in the privacy policy.

Privacy does not mean hostility. It allows the renter to prepare an accurate record before choosing what to share.

Your private Capsule remains under your control whether you use Free Capsule or request paid assistance. Paying for optional Guided Review or Concierge assistance does not create broader access, and sponsor or guarantor involvement does not create evidence access.

The core workflow and generation and download of your basic Supplemental Move-In Condition Report are included with Free Capsule. Your report is not held behind a payment wall.

Privacy matters because the record may later be relevant to a financial or condition-related disagreement. Partner workflows, if you choose to use one, do not expose your private Capsule.

Shared responsibility

What DwellCapsule does — and what stays with you.

DwellCapsule is a private tenancy evidence platform. Some responsibilities sit with the product; others sit with you as the renter. Clear boundaries protect the trustworthiness of the record.

DwellCapsule is responsible for
Preserving your originals unchanged, keeping shared and private data strictly separated, versioning generated reports, distinguishing capture and upload metadata, and honoring user-controlled export and deletion.
You are responsible for
What you capture, what you choose to share, protecting your account credentials, and reviewing report-ready wording before you generate a Supplemental Move-In Condition Report.
What DwellCapsule does not do
Verify causation or liability, certify property condition, score tenants, share evidence with landlords or partners by default, or provide legal advice.
