Move-In Record

The report you received—or the absence of one—may shape the baseline used later.

Review the provided report while the condition is fresh, or create your own guided record when no report exists. Add clearer photos, neutral comments, and missing conditions so you preserve your own account of the starting condition.

Why act now?

Existing conditions are easiest to document while they are fresh.

You do not need to finish everything at once. Start with the source report or the most important conditions, save your progress, and continue later.

The core workflow and generation and download of your basic Supplemental Move-In Condition Report are included with Free Capsule.

  • Conditions change and existing wear can be masked by later use.
  • Memory fades — details noticed on move-in day are hardest to reconstruct months later.
  • Items may be repaired or replaced, which can change how a condition is described.
  • Staff or property management may change during the tenancy.
  • Source systems and portals may change, and files can be reorganized.
  • Delayed documentation may be harder to contextualize later.
  • Functional problems can become harder to date after regular use begins.

Move-In Record

An organized record of the place you just moved into.

Your Move-In Record turns the report your landlord provided — or, if none exists, your own Guided Capture — into a clear condition record and a professionally formatted Supplemental Move-In Condition Report, kept in your Capsule and shared only when you choose.

Capture the condition. Preserve the history. Keep the record under your control.

What's included

  • Room-by-room condition record with photos and notes
  • Documentation coverage indicator per room
  • Neutral, report-ready description suggestions
  • Supplemental Move-In Condition Report (PDF-ready)
  • Versioned reports with generation timestamps
  • Private Vault for personal notes and drafts

Guided Capture · secondary workflow

Photo-first prompts, room by room — when no report exists.

When your landlord or property manager didn't provide a move-in report, Guided Capture walks you through the space one room at a time. You choose Take Photo or Choose from Library for every capture. Video is available for conditions where sound or movement matters. Camera access is never requested until you explicitly choose to capture.

  • Separate Take Photo, Choose from Library, and Video controls
  • Prompts for the details renters commonly miss
  • Preview, filename, file type, size, room, and category shown for every file

Neutral observations

Your original words are preserved. Report wording is neutral.

Private notes are yours. If wording is speculative, emotional, or conclusory, DwellCapsule flags it and suggests a neutral report-ready alternative — subject to your approval. Nothing is overwritten.

  • Original private notes preserved verbatim
  • Neutral report-ready description offered as a separate, approved suggestion
  • No AI-generated wording enters your report without your review

Evidence Vault

Originals stay original.

We preserve your original files unchanged. Thumbnails, optimized derivatives, and any system-generated text are stored separately. Nothing overwrites the source.

  • Original photos and PDFs retained separately from derivatives
  • HEIC handled where feasible; orientation corrected on derivatives only
  • Duplicate prevention, MIME-type and size validation

Documentation coverage

A calm indicator — not a score.

Coverage shows how much of each room you've captured. It's guidance so you can finish confidently — it is never a pass-or-fail score and never a verification of the property's condition.

  • Amber below 50% · sage above
  • Room-level and Capsule-level views
  • Never presented as a certified inspection

Supplemental Move-In Condition Report

Professionally formatted. Versioned. Yours.

Every generated report has a unique version ID and generation timestamp. Later edits create a new version. Sharing or delivering the report does not establish that the recipient has accepted, verified, or agreed with it.

  • Unique version identifier + generation timestamp on every report
  • Edits create a new version — never a silent rewrite
  • Framed as a cooperative supplemental baseline

Shared vs private

A Shared Baseline is scoped to exactly what you send.

Your Private Vault stays visible only to you. If you choose to create a Shared Baseline with a housing partner, only the material you send is visible — nothing more.

  • Private Vault — renter only, unless explicitly shared
  • Shared Baseline — scoped to renter-selected material
  • Organizations cannot query or infer the existence of private records

Document the starting condition while it is still fresh.

Review the report you received or create your own move-in record.

Private by design · Renter-controlled · Original files preserved
